Terms and conditions
Arrival and departure:
Due of the excursion program, arrival must be on a Monday.
Guests staying one (or two) weeks will arrive on a Monday and leave on the following (or second following) Monday. If you choose a 5 day stay, you will also arrive on a Monday but you will leave on the following Saturday.
Our rangers are picking up and bringing arriving/departing guests at the local airport, either Hoedspruit (HDS) or Phalaborwa (PHW), on the midday flight.
Guests arriving Mondays to Phalaborwa will be picked up at 12.55.
Guests arriving Mondays to Hoedspruit will be picked up at 10.50, 12.35 or 14.00 (times subject to adjustment if the airline changes its flight schedule).
Please note that due to the long transfer we are unfortunately not able to drive straight back to the lodge if we have later guests arriving. In such situations the ranger will accompany you at the airport cafe for waiting for the next arriving guests with the following flight arrival. We trust you will enjoy the company of the ranger for this short waiting time.
Guests departing will be taken to the airport well in advance of the departure time.
For departures from Phalaborwa on Mondays and Saturdays we bring guests for the flight departing at 13.15.
For departures from Hoedspruit on Mondays and Saturdays we bring guests for the departure flights at 11.20, 13.05 and 14.30. Please note that should we have guests departing at an earlier time than your departure flight, the transfer from Mpala will start for the soonest departure time which will give you a short extra waiting time at the airport.
Please inform to us when you book your stay if you arrive by airplane to either Phalaborwa or Hoedspruit and your arrival time as well as your departure flight scedule. Should your arrival plan be changes please remember to inform us in good time to give us a change to pick you up at the right place and the right time.
Transfer to/from Mpala and Phalaborwa or Hoedspruit is included in the accomodation rate.
Your room will be at your disposal from the arrival day at 14.00.
If you arrive by car we advise you to call us at Mpala on 083 654 0883 one hour before you arrive to get instructions for the last distance. We recommend that we meet you at the nearby petrol station at the main road close to Mica, where our ranger then will meet you and guide you through the nature reserve to Mpala, as it is not safe for you to drive alone where there are elephants and the other of the Big 5 game.
Please note that your rooms will be at your disposal until latest 10.00 at your departure day. From then we need to prepare the room for the next coming guests. Should your departure be later than at 10.00 from Mpala we invite you to relax at the Main House verandah for a last enjoyment of the view and perhaps the planning for your next visit.
Please note that you must accept and sign our indemnity form upon arrival as it is customary at safari lodges in Big Five areas in South Africa.
Children and extra beds:
Mpala Safari Lodge accept children from age 6+. Groups of 12 persons can choose to disregard the age limit, but at guests’ own risk. An extra bed may be added to parents’ room (a luxury lounge bed); however, no discounts are given for children or extra beds. In nature reserves with Big 5 in South Africa the children must be at least 12 years to go on a bush walk.
A deposit of 25% of the total amount must be paid when you book (booking with shorter notice than 45 days to arrival please read below). Payment is online by way of creditcard.
When you book online you will automatically receive an email with confirmation of your payment as well as en email with your booking confirmation. On this booking confirmation you will find a link to online payment of the balance.
The balance must be paid to our bank account by way of creditcard or bank transfer no later than 45 days prior to arrival.
Booking made less than 45 days before arrival payment in full must be paid online by way of creditcard.
Payment must include all bank charges. Payment is transferred to the bank account of Mpala Safari Lodge headoffice in Denmark:

By payment you confirm to have read and accepted our Terms and Conditions as well as our programme.
Online payment by credit card may result in a transaction fee from your bank or the credit card issuer. Such a transaction fee goes to the bank and/orcredit card issuer. Please note that such a fee ads to your payment by credit card of drinks and extra trips at Mpala Safari Lodge.
Mpala Safaris reserve the right to cancel a booking if full payment is not made in due time without refunding the amount paid. Please read the cansellation policy.
General cansellation policy:
- By cansellation the deposit is non-refundable.
- By cansellation less that 45 days prior to the date of arrival, the entire amount paid is forfeited and non-refundable.
- Mpala Safaris reserve the right to cancel a booking if payment of a rate is not made in due time, without refunding the amount paid.
If you want to cansel your booking please log-in on our booking site on mpala.dk bu using the username and the code word that you have recieved from us by email when you finished your booking. After canselling you will recieve confirmation of your cansel by email.
Prices and currency:
The terms of prices and currency are the following:
- All prices in the booking system are calculated from the danish currency DKK (danish crowns – kroner). For all other currencies than DKK the shown value is converted from DKK based on the currency exchange day rate following The Danish National Bank.
- Invoicing takes place in the rate in DKK regardless the booking may have been made in another currency.
- Online payment is made in DKK.
- Mpala Safari Lodge takes reservation against any errors in the shown prices. Mpala Safari Lodge reserves the right to make corrections of errors pleading our official pricelist.
Mpala Safaris reserve the right to cancel all bookings at any time in case of force majeure (war-like actions, strike, natural disasters and other events not influenced by us). In case of cancellation occuring before arrival by force majeure, Mpala Safaris will refund the entire amount paid. No further demands for compensation or refund can be made. Mpala Safaris reserve the right to make changes to the tour program which are necessitated by force majeure, as well as cancelling the visit to the village school in case the school may choose to close.

Information we may collect from you
We may collect and process the following data about you: Information that you provide in order to make a booking or purchase any other services via this Site.
If we ask you for your contact details for future marketing use, although you have the option to opt-out of such use. Details of transactions you carry out through this Site and of the fulfilment of your bookings.
Details of your visits to this Site (including, but not limited to, traffic data and location data) whether this is required for our own purposes or otherwise, and the resources that you access. If you contact us, we may keep a record of your email or other correspondence.
We may collect information about your computer including, where available, your IP address, operating system and browser type, for system administration and to report aggregate information to our advertisers. This is statistical data about our users’ browsing actions and patterns, and does not identify any individual.
Transmission of your personal data
Unfortunately, the transmission of information via the internet is not completely secure. Although we will do our best to protect your personal data, we cannot guarantee the security of your data transmitted to our Site and any transmission is at your own risk. We may disclose your personal information to any member of our Group, which means Grunert Investments (Pty) Ltd who is the legal owner of Mpala safari Lodge, our ultimate holding company and its subsidiaries, to relevant third parties who will supply the travel arrangements or other services you request, and to relevant third parties for the purpose of fraud protection and credit risk reduction.
You have the right to ask us not to process your personal data for marketing purposes. We will usually inform you (before collecting your data) if we intend to use your data for such purposes or if we intend to disclose your information to any third party for such purposes.
